Admission counters do not negotiate. If a certificate is missing on the day, the seat moves to the next candidate — and the family that lost it usually had the document at home, unsigned or unattested. The fix is unglamorous: build the folder early, in one place, in duplicate.
The core set
- Plus Two marksheet and pass certificate
- Class 10 marksheet — usually the proof of date of birth
- Entrance exam scorecard and rank card, where the course requires one
- Counselling allotment letter, once issued
- Transfer Certificate (TC) from the last institution
- Conduct or character certificate
- Migration certificate, where you are moving between boards or universities
- Aadhaar or other photo identity
- Passport-size photographs — keep a dozen, taken recently, in the size the portal specifies
Claim-specific documents
Every concession you claim has to be proved, in the exact form the authority accepts:
- Community or category certificate, issued by the competent authority
- Income certificate — usually valid only for a limited period, so check the date
- Nativity or domicile certificate, for state-quota claims
- Disability certificate, for candidates applying under that category
- Bank account details and passbook copy, for fee payment and scholarship credit
Four rules that prevent most problems
- Originals plus two sets of copies. Colleges keep some copies; you will need more than you expect.
- Check the validity dates. Income and community certificates issued long ago are often rejected. Renew before the season, not during it.
- Match the name exactly. Spelling differences between the marksheet, Aadhaar and bank account cause real delays. Correct them early — corrections take weeks.
- Scan everything. Keep clear PDFs of every document, named properly, in one folder on a phone and in email. Online portals ask for uploads at short notice.
Assume you will be asked for one document you did not expect. The families who are relaxed at the counter are the ones carrying the whole file.
Do this before results day
Certificates issued by government offices take time, and the queue is longest exactly when everyone needs them. Apply for community, income and nativity certificates while you are still waiting for results. It costs a morning then, and saves a seat later.
